Open the room and click the **Members** ![](https://cdn.us.document360.io/6ae79a05-7252-45d0-96e8-8f375e07b1b2/Images/Documentation/image(291).png) icon in the room menu bar. - In a team, open the kebab menu and select **Team Members**. 2. At the bottom of the Members panel, click **Add**. 3. Search for and select users. 4. Click **Add Users**. > [!WARNING] > If a selected user is already a member, Rocket.Chat notifies you. ### Invite users with a link To invite users using a link: 1. Open the room and go to the **Members** panel. 2. Click **Invite Link and** share the generated link. The invite link displays its expiration date and time. #### Edit invite link To manage the duration and usage of an invite link: - On the **Invite Members** screen, click **Edit Invite**. - Select the expiration (in days) and the maximum number of uses, then click **Generate New Link**. - This link will prompt invitees to sign up if they are outside your Rocket.Chat workspace before granting them access to the room. #### Manage invite links To view and manage room invite links, go to **Manage** ![Screenshot 2025-12-23 130522.png](https://cdn.us.document360.io/6ae79a05-7252-45d0-96e8-8f375e07b1b2/Images/Documentation/Screenshot%202025-12-23%20130522.png) > **Workspace** > **Invites**. This feature is useful when you have an invite link with `Expiration: Never`. To prevent abuse, you can revoke the invite link by deleting its record. If you want to delete any invite record, click the close icon next to it. Click **Yes** to confirm the deletion. You can also manage invite links using the [Room Invites API endpoints](https://developer.rocket.chat/apidocs/room-invites-api). > [!WARNING] > - To create invite links, your role needs the **Create Invite Link** [permissions](/v1/docs/permissions). It's enabled by default for **Admins**, **Owners**, and **Moderators**. Contact your workspace administrator to adjust permissions as needed. > - Make sure that you have configured the [workspace email settings](/email) to be able to send emails. --- ## Remove a member from a room By default, only the room owner can remove a member. However, users with appropriate [permissions](/v1/docs/permissions) can also remove members. To remove a member: 1. In the **Members** panel, search for and select the user to open their **Full profile**. 2. Click the **kebab** menu and select **Remove from room**. ### Ban and unban users Banning a member removes them from the room and prevents them from rejoining. Unlike **Remove from room**, a banned user cannot be re-added manually, cannot rejoin via an invite link, and cannot access the room until an administrator unbans them. Ban and unban are available in: - Public and private channels - Public and private teams - Discussions Banning is not supported in direct messages or multi-user direct messages. > [!WARNING] > The “**Ban User”** permission is required to ban or unban members. By default, this permission is granted to Admins. To grant it to other roles, go to **Manage → Workspace →** [**Permissions**](/v1/docs/permissions). **To ban a user:** - Open the room and click the **Members** icon in the room header. - Select the user you want to ban. - Click the kebab menu **(⋮)** and select **Ban user from room**. - In the confirmation dialog, click **Yes, ban user!** The user is immediately removed from the room, a confirmation toast appears, and a system message is posted in the room. **To view banned users:** To see all users currently banned from a room: 1. Open the room and click the kebab menu **(⋮)** in the room header. 2. Select **Banned Users**. The **Banned Users** panel opens, listing every banned user in the room. **To unban a member:** 1. Open the **Banned Users** panel. 2. Locate the user you want to unban. 3. Click the kebab menu **(⋮)** next to their name and select **Unban user from room**. 4. In the confirmation dialog, click **Yes, unban user!** A confirmation toast appears, and a system message is posted in the room. The user can now be re-invited to the room via an invite link or manually added. > [!WARNING] > Banned users can no longer rejoin a room through an invite link. If a banned user attempts to redeem an invite link, the request is rejected. To restore access, an administrator must first unban them via the **Banned Users** panel before re-inviting. --- ## Update room members Each room member has one of the following roles: - **Owner** - **Leader** - **Moderator** - **User** Permissions depend on the assigned role. The room owner has full management capabilities. ### View room members To view the members of a room: 1. Click the **Members** icon in the room header. 2. In the Members panel, browse the member list or use the search field to find a specific user. You can also use the filter dropdown to narrow the list by status or role. 3. Click a user to open their **Full profile** panel. The **Full profile** panel displays: - **Status indicator and username**: a colored dot shows online status - **Status message**: the user's current status text (if set) - **Nickname** - **Workspace roles**: the roles assigned to the user across the workspace - **Room roles**: the roles the user holds in this room - **Username** - **Local time**: the user's local time with UTC offset - **Bio** - **Last login** - **Email**: with verification status - **Created at**: the date the account was created To copy the **Username** or **Email** value, click the copy button next to it. To view the user's avatar, click it. ### View a user card The user card is a short summary of a user that you can open from a message without leaving the conversation. - To open the user card, hover over a message author's name or avatar, or over a user mention. The card closes when you move the pointer away. - To open the user's **Full profile**, click the author's name, avatar, or mention, or click **Full profile** on the user card. The card shows the user's avatar, name, and status. If the user holds roles in the room, the card lists them under **Room roles**. It also shows the user's **Local time** with its UTC offset when it's available, for example `9:06 AM (UTC -5)`. The card doesn't list workspace roles. To see them, open the **Full profile**. Below the details, the card shows **Full profile** and the actions described in [Member actions](/docs/manage-room-members#member-actions). A mention of a username that doesn't exist in the workspace appears as plain text and doesn't open a user card. When roles are displayed in messages, the author's name is followed by one tag for their workspace roles and one for their room roles. The **User** role isn't shown. If the author holds several roles in the same scope, the tag shows one role and the number of others, for example `Moderator +2`. Hover over a tag to see all the roles in it, for example **Room roles: Moderator, Leader, Owner**. Click a tag to open the user card. ### Member actions From a user card or the **Full profile** panel, you can perform the following actions: - **Direct message:** Start a direct message conversation with the user. - **Video call:** Start a video call with the user. - **Voice call:** Initiate a voice call with the user (available when Rocket.Chat Voice is configured). - **Set as owner:** Grant the user the Owner role for the room. Owners have full control over room settings and members. - **Set as leader:** Grant the user the Leader role for the room. - **Set as moderator:** Grant the user the Moderator role for the room. Moderators can manage messages and members. - **View reported messages:** See messages reported for the user on the [moderation](https://docs.rocket.chat/v1/docs/moderation) dashboard. - **Ignore:** Hide messages from the user. Ignored messages are replaced with a `This message was ignored` label. - **Mute user:** Make the room read-only for the user. They can still view messages but cannot send any until unmuted. - **Remove from room:** Remove the user from the room. The user can be re-added later. - **Ban user from room:** Permanently block the user from the room. The user is removed and cannot rejoin until an admin unbans them. - **Report:** Report the user to moderators by providing a reason. The user card and the **Full profile** panel offer the same actions. **Direct message** and **Video call** appear as buttons, and the other actions are in the **More** menu **(⋮)**. The menu has four groups, separated by dividers: - **Voice call** and **View reported messages** - **Mute user** and **Ignore** - **Set as owner**, **Set as leader**, and **Set as moderator**, under the **Manage room roles** heading - **Remove from room**, **Ban user from room**, and **Report** If the user already holds a room role, the matching item changes to remove it, for example **Remove as moderator**. When you open your own user card or **Full profile**, **Mute user**, **Remove from room**, and **Ban user from room** are not shown.
