Using the Google Calendar App

Once your workspace administrator has installed and configured the Google Calendar app, you can link your personal Google account to access its features. To confirm the app is available in your workspace, enter /google-calendar in any room. If installed, you’ll see related help or actions. If not, request the app at Administration > Apps > Marketplace.

Connect your Google account

To begin using the Google Calender app, you must link your Google account.

  1. Type the slash command /google-calendar connect in any room.

  2. The google-calendar.bot will send you a message. Click the Authorize button.

  3. A new browser window will open. Select the Google account you wish to authorize and click Allow to grant the app the required permissions.

  4. After a successful connection, you will receive a confirmation message from the google-calendar.bot.

You may be required to re-authenticate periodically whenever the authentication token expires.

With your account linked, you can now change the settings, list your events, and recieve notifications on meeting hours.

Manage your Google Calendar settings

Once your account is linked, you can customize the app's functionality by accessing the settings.

  1. Enter the slash command /google-calendar settings in a room. This will open the Google Calendar Settings contextual bar.

  2. From here, you can manage the following options:

    1. Notifications: Activate or deactivate meeting notifications. When activated, you will receive a reminder 10 minutes before an event's start time.

    2. Daily summary: Set a preferred time to receive a daily overview of all your scheduled events.

    3. OAuth Authentication: Authorize or revoke your connected Google account.

Manage events in Google Calendar app

To see a list of your events for the current day,

  1. Run the slash command /google-calendar events.

  2. This command displays all events scheduled for the day, including the title, date, and time. Clicking on an event title will take you to its details page in Google Calendar.

  3. From the event list, you can also manage meeting invitations with quick action buttons:

    1. Respond: Easily Accept, Decline, or select Maybe for an invitation.

    2. Join: Click the Join button to enter a meeting directly from the event notification.

With your account linked, you can use the following commands:

  1. /google-calendar help: Displays a list of all available commands.

  2. /google-calendar setup: Shows the initial setup instructions in the google-calendar.bot DM.

  3. /google-calendar disconnect: Removes your linked Google Account.

  4. /google-calendar settings: Opens a contextual bar to manage your app settings.

  5. /google-calendar events: Returns all events from your calendar for the current day.

You have now connected your Google Calendar to Rocket.Chat. This setup allows you to streamline your daily workflow by managing your schedule, receiving timely reminders, and responding to invitations without ever leaving your workspace.
