Building a collaborative workspace involves inviting the right people to join your Rocket.Chat environment. After setting up your Rocket.Chat workspace and customizing it with your brand using white-labeling, the next step is to invite users to join.
You can invite users via email or by adding them manually. This action must be performed by a user with admin privileges.
Inviting a new user via email
To invite users:
Go to
Administration → Workspace → Users
.Click the Invite button in the top right corner.
If your SMTP server is not yet configured, a warning will appear prompting you to Set up SMTP. Follow the steps in our SMTP Configuration guide to complete the setup.
Once configured, return to
Administration → Workspace → Users → Invite
.Enter the user’s email and assign any roles (optional).
Click Send Invite to send the invitation.
Manual user creation
Go to
Administration → Workspace → Users → New User
.Fill in the required fields:
Email (optional unless SMTP is used)
Name
Username
Password: Choose to set manually or generate and send by email (SMTP required).
Assign roles (optional)
Toggle default options like:
Require password change
Join default channels
Send a welcome email
Click Add user.
Manually created users will appear as Pending until they log in for the first time.

With your workspace set up and users invited, you’re ready to collaborate efficiently while reinforcing your brand’s identity across the platform.
