Upgrade or Downgrade Your Workspace Subscription

Rocket.Chat provides flexible subscription options for self-managed workspaces, allowing you to scale as your team grows or your requirements change. This guide explains how to upgrade or downgrade your plan and manage subscription details for self-managed workspaces.

Understanding plan transitions

When you deploy a new workspace, here are some important details to note:

  • The new workspace is automatically subscribed to the Starter plan.

  • As you exceed the scale limits of the Starter plan, your workspace is granted a 30-day Pro plan trial to explore the Rocket.Chat features that are accessible on the Pro plan.

  • If your workspace is already subscribed to the Pro plan and exceeds the scale limits, you are granted a 30-day Enterprise trial to experience the Rocket.Chat features that are available on the Enterprise plan.

  • Cloud-hosted workspaces start with a Pro trial, not the Starter plan. Contact our sales team to upgrade your cloud-hosted workspace to the Pro or Enterprise plan. You cannot modify subscriptions for cloud-hosted workspaces on the Rocket.Chat Cloud portal.

Upgrade or downgrade your workspace plan

For self-managed workspaces, you can manage your workspace subscription with the following steps:

  1. Log in to your Rocket.Chat Cloud account.

  2. Go to Workspaces and select your workspace.

  3. Click Subscribe or Manage subscription (if you already have a subscription).

  4. The Manage Subscription panel appears, allowing you to update your plan or add-ons as follows:

    1. Add plan or add-on: Select the Pro Seats.

    2. Choose your billing cycle: Monthly or Yearly.

    3. Update the units of Seats (workspace users) you want to purchase for the selected plan. A minimum of 51 seats is required.

    4. Click Save to continue. Validate your checkout, enter your card details, and click Subscribe to complete the purchase.

After a successful checkout:

  • Your subscription is activated.

  • You will receive an invoice via email.

  • If you decrease the number of purchased seats, the difference is refunded as a credit to your Rocket.Chat Cloud account.

  1. Once your subscription is active, navigate to Administration > Subscription on your workspace and click Sync license updates to apply these changes.

Downgrade to Community workspace

To cancel your workspace subscription and revert to Community, go to Administration > Workspace > Subscription and click the Cancel Subscription button. This option is only available for self-service subscriptions on the Starter plan or any trial.

For sales-enabled subscriptions, if the contract expires without renewal, the workspace will automatically revert to the Community plan.

When you cancel your self-service subscription, your workspace will still function with a paid license until the end of your billing period.

Upgrade to Starter from Community workspace

If you are using a Community workspace, you can upgrade to the Starter plan from the cloud portal with these steps:

  1. Log in to your Rocket.Chat cloud account.

  2. Go to the Workspaces tab and locate the Community workspace that you want to upgrade.

  3. Click the kebab menu against the workspace and select Upgrade to Starter. Your workspace will be subscribed to the Starter plan.

The Upgrade to Starter option will be unavailable if the workspace exceeds the Starter plan limits.

Alternatively, you can upgrade to the Starter plan from your workspace with the following steps:

  1. Navigate to Adminstration > Workspace > Subscription. A banner is displayed for you to switch plan if your workspace is eligible for the Starter plan.

  2. Click the Switch plan button and complete the steps to upgrade your workspace. Your workspace will be subscribed to the Starter plan.
